THE EDUCATIONAL DEPARTMENT

The Educational Department (the name of the structure was changed from the Studies Section, in accordance with the SUPES Senate Decision, minutes no. 7 of 21.03.2013) was founded as an institutional subdivision with the founding of the National Institute of Physical Education and Sports (in 1991 ) and operates based on the Statute of the State University of Physical Education and Sports, the normative documents regulating the educational process in the Republic of Moldova, the orders of the rector.
The basic objectives of the Educational Department are:
- recording, organizing and ensuring the process of study;
- ensuring and providing the process of study with technical, material and didactic supplies;
- training and recording the students contingent.
The staff is approved by the Rector (prorector) of the university and consists of:
Cireș Victoria, PhD in educational sciences, superior inspector, responsible for educational process and evidence of 1st cycle – bachelor students and statistics evidence;
Amelicichin Ecaterina, PhD in pedagogical sciences, superior inspector, responsible for educational process and evidence of 2nd cycle – master’s students and issuing study documents.
The head of the department is appointed (dismissed) in/from function by the Rector, with the recommendation of the prorector for didactic activity. The employees of the office are appointed (dismissed) in/from their positions by the prorector for didactic activity.
The duties and competence of the Department staff are evaluated and approved by the prorector for didactic activity, according to the needs for the efficient organization of the educational process and insurance of contingent's evidence.
The activities performed by the Education Department:
I. The organization and insurance of the process of study
- Prepares the instructive materials, regulations, drafts orders regarding the organization and realization of the study process, as well as several projects on the development of the higher education system;
- promotes and stimulates the implementation of new forms and technology for knowledge evaluation;
- takes part in the formation of the university staff;
- is responsible for the organization and provision of the Licence and Master's exams, with the necessary documents, the awarding of adequate qualification, the completion and handing of diplomas to the university graduates;
- in agreement with the prorector for didactic activity, analyses the reports of the departments and of the chairmen of commissions for the licence examination, elaborates concrete proposals aimed to improve the training process;
- assures the security of the documentation regarding the licence commissions;
- is responsible for providing the chairs and departments with all the necessary formulations, registers, files, tally-sheets, diplomas, students cards as well as for perfection and keeping the documents;
- is responsible for the organization of the scheduled examination sessions and controls the forms and methods of evaluation. Checks and analyses the results of examination sessions and the ways of student's evaluation;
- studies and elaborates suggestions on improving the educational activity of the students, as well as the development of university self-management;
- in consultation with deans' offices coordinates and evaluates the efficiency of the group monitors' activity regarding the realization of instructive and educational measures in academic groups;
- examines the situation and behaviour rules of the students in the blocks of studies and in hostels;
- takes part in the process of elaboration of the annual report regarding the university activity.
II. Quality and efficiency control of the study process
- in agreement with the deans of the departments, organizes and takes part in the quality evaluation of the study process;
- is responsible for the methodical and technical assurance of the study process;
- contributes to the implementation and application of the innovative didactic techniques in the study process;
- analyses and evaluates the didactic process efficiency;
- monitors the elaboration of the academic plans;
- is responsible for compiling statistical reports, the information and materials required by the superior bodies;
- check the perfecting of the departments' documentation (registers, personal student files, student cards, etc.);
- elaborates suggestions regarding the members of the commissions for licence examination; draws up the chart and schedule of licence exam;
- makes proposal to Rector for taking administrative measures in case of discipline breach by teachers and students.
III. Keeping records and student's contingent mobility
In agreement with deans' departments:
- supervises and coordinates the admission, organizes various activities among youth regarding professional guidance;
- elaborates regulations and instructions concerning the admission procedure;
- ensure the advertising during the admission (editing didactical materials, guides, information broadcast on radio and TV, etc.);
- organizes the analysis and realization of normative acts stipulation regarding the admission;
- analyzes and prepares the orders for enrollment, promotion and admission to the Licence examination and offers the qualification. Analyzes and organizes student transfer, re-establishment, expulsion, the granting of academic leave, as well as student stimulation and sanction measures.
The activity of the head of the Department is directed to:
- organizing, in agreement with the prorector for didactic activity, the instruction process in the university;
- processing student contingent dynamics: enrollment, expulsion, transfer, academic leave etc.;
- organizing the evaluation of didactic process, through ordinary and additional evaluation sessions;
- analyzing of dynamics achievement of academic plans and programmes by the teachers employed at the university, as well as supervising the distribution, recording and control of teaching academic tasks;
- monitoring of the licence exam admission, offering of the qualification of licence diplomas, of higher education certificates together with the diploma supplement, according to the Bologna Process;
- analyzing and verification of the normative' acts compliance, issued by the Ministry of Education, Culture and Research of Republic of Moldova and the SUPES board regarding the didactic process;
- monitoring the elaboration of the schedule of the examinations (ordinary and additional sessions).
Statistics Sector of the Educational Department has the following duties:
- ensures the evidence of students' contingent;
- presents the monthly, trimestral and annual information;
- coordinates the lists of the student groups with the departments;
- supervises the promotion of the students to the next year of study, admission to the graduation exams and issuing of the graduation diplomas;
- monitors the databases which assures all the information regarding the students.
The main functions of the record -keeping and documents issue sector are:
- is responsible for providing the examination lists for the ordinary and additional exam sessions, as well as the computer processing of the academic data, for both full-time and part-time education;
- verifies the realization of the timetable by the university staff;
- supervises the realization of the academic hours in accordance with the university timetable;
- checks, together with the deans'offices, the development of pedagogical practice of the students of the day departments;
- supervises the calculation and distribution of the classes at the departments;
- is responsible for the providing of the documentation for the Licence exams and supervises the fulfilment of the documents at the departments;
- supervises the process of the document issue (registers, personal student files, student cards, and Licence and Master Diplomas, etc.);
- ss responsible for the issuing of copies of academic documents (according to the Archive entry and the confirmation in the “Monitorul Oficial” (official confirmation of document loss);
- ss responsible for the elaboration of the academic timetable and the examination session schedule;
- monitors the realization of the academic hours according to the timetable;
- ensures the providing of examination lists, as well as the computer processing of the academic data;
-verifies students' contingent and perfects the periodical information.
